Minutes of Meeting

Meeting # 15, Wednesday 13th March 2024 @ 1900 hrs, Lindley Road Community Centre:

1.

Welcome: Geoff Stone welcomed all to the fifteen PPG meeting .

2.

Attendees & Apologies: Alan Brindle, Alan White, Geoff Stone, Huw Williams, Ian Smith, Jackie Clarke, John Buck and Dr. Ed Tang, Jenny Williams from Pond Tail Surgery (PTS) and Ifesi Anyamene from Godstone Pharmacy. Candy Edwards, Michael Swain, Rahul Tangirala, Suzanna Zizeck and Fran Lemanska, were not in attendance.

PPG Terms of Reference & Purpose:– GS reiterated the purpose for the PPG; namely 1. Improve communication between patients, PTS, and the wider public, 2. Better understand patient issues and experiences generally, 3 Promote health education for patients, 4. Review patients’ surveys, 5 Define Improvement Plan (with actions for service improvement), 6 Regularly adjust Improvement Plan.

The proposed date for defining the Communications Plan was 4Q 2024. Sharing of information (internally and externally) between practice, patients and larger community was important to enable improvement.

PPG Newsletter. The Newsletter team met and produced the February version ahead of schedule, 23 Feb 2024, congratulations to those involved. The next Newsletter could include 1 PTS and Pharmacy – Zero tolerance to abuse, violence and bad language (to be very prominent), 2 East Surrey data 3% of patients use 18% of available clinical time (a similar figure Nationally), 3 New digital triage access – more efficient allocation of resources and clearing calls effectively, 4 Help for patients using Ambassadors, 5 Ambassador training, 6 New improvements to NHS App and NHS Website, 6 Future plans for PTS Website, 7 Summary of major PTS improvements, 8 New PTS to Pharmacy referral system, 9 User case for Pharmacy First, 10 Summary of patients’ issues.

Newsletter Distribution – Newsletter was distributed on 23 Feb 2024. Newsletter summary was issued in Godstone and Bletchingley magazines. JB to chase MS for Nutfield Link contact details.

Recruitment – Other surgeries including Caterham and Oxted target Duke of Edinburgh participants to support them. PTS to target DoE students who want experience in surgeries. AB to contact Oxted PPG and identify possible DoE participants to become new members of PTS PPG.

PTS Surgery Update: PTS and local Pharmacy reiterated Zero tolerance to abuse, violence and bad language. Recent experience with above occurred in both PTS and Pharmacy leaving staff traumatised. Patients were offered alternative services in Smallfield Surgery.

The digital triage system, introduced in Nov 2023, with added improvements resulted in significantly improved resource allocation. The new medical referral system to Godstone Pharmacy was working very well with 55 of 57 patients treated. PTS audit programme is expected to last until May 2024. The next National NHS Survey will be held in April-May for publication in August 2024.

PTS admin staff capability was dramatically reduced due to sickness. New receptionist was hired and trained. Ongoing staff training continued on regular basis resulting in improved team working. Additional Ambassadors was considered likely and training may be extended until May. FL will agree dates with Ambassadors.

Upgrading of PTS interior continued, waiting area was redecorated. The new advanced Health Pod equipment was delivered in Feb but not operational. Capability enables auto referral to appropriate medical team. Hearing aid booster system was installed and operational in Jan.

Planning permission for the new PTS and Pharmacy in Godstone was approved on 29 Feb 2024 in Tandridge, Ministerial approval expected soon.

Concern of elderly patients’ driving/ parking near PTS causing traffic issues. Staff believe that issue is for third parties and independent of PTS.

Surgery Website: - 3 public access routes for medical services include: 1 PTS Website (welcomed, based on NHS requirements so customisation is limited), 2 NHS App (preferred and redesigned, streamlines and simplified in Feb 2024), 3 NHS Website (upgrade ongoing).

Pharmacy & Prescriptions: Flu and Covid boosters will be available from 21 Apr 2024 ( many surgeries will not provide this service). Out of stock medicines continue to be an issue due to Europe and Brexit.

Communications with PTS were working very well with excellent patient feedback. Patients need to allow extra time, say 1 full week, for prescriptions to take account of “out of stock” and shortage issues. Future expectations include deliveries to households (already started).

East Surrey PPG Network:

7 Mar 2024 NHS East Surrey PPG Network Meeting – MTM 1800-1930 hrs (240307). Key Points:

o

Much information available and analysed covering Surrey and East Surrey.

o

Process and Toolkit identified for primary care.

o

Triage and NHS App updated with significant improvements.

o

Surrey data: 3% of patients use approx 18% of available practice time – 3 groups include 1 high needs. (elderly, disabilities, etc), 2 Under 30 years with chronic health needs, 3 Patients with non chronic health conditions.

o

New updated Pharmacy First has 96% uptake in East Surrey – 7 pathways available in surgeries.

o

NHS App redesigned, streamlined and simplified in Feb 2024 – limited digital access to data.

o

NHS Website News updated with new ongoing developments – Mental health issue may be larger than previously thought, GP IMHS and neighbourhood teams (multi discipline teams).

o

Minutes and presentations will be shared when available.

LGBT and young people issues were poorly understood and shared (websites, relationships, transport and support).

Integration of services and early identification of solutions (Lingfield theatre group, disabilities meetings, etc).

iv.

Volunteers needed – meals on wheels, transport, medical and other services.

v.

Minutes and groups summaries and actions will be shared when available.
