Minutes of Meeting
Meeting # 21, Wednesday 2nd April 2025 @ 1900 hrs, Pond Tail Surgery:
1. Welcome: : All attendees were welcomed including two new PPG Members Philomena Davidson and Rich
Wilkinson. This was the first time that Teams meeting capability was provided including access details.
2. Attendees & Apologies: : Geoff Stone, Huw Williams, John Buck, Ian Smith, Philomena Davidson, Rich Wilkinson,
Dr Penny Geer, Fran Lemanska, Jenny Williams. Apologies from Alan White, Jackie Clark, and 2 new PPG members
Tina Gungaloo and Emma Cosh and Ifesi Anyamene for they were not available. Future Wednesday meetings will
be held on 1 Jul, 2 Oct and 7 Jan 2026.
3. Pre PPG meeting: Held on Thu 27 Mar with no new members in attendee although two new PPG members
Philomena Davidson and Rich Wilkinson advised their non availability. PPG new members breakdown included
gender (5 males, 7 females), age (20s-2, 30s-4, 40s-6), ethnicity (white-10, mixed-1, unknown-1)).
4. Collective Collective Action Update: Godstone Village Association Newsletter and Godstone Parish Magazine
shared this topic in February. No update or news was given by PTS team. Contracts for surgeries were expected in
future.
5. NHS, PTS and PPG Visions:
a NHS Aims for 2025: ‘In 2025, the NHS focuses on improving patient outcomes and experiences, with priorities
including reducing elective care waiting times, improving ambulance response and A&E waiting times, and
maintaining the quality and safety of services, particularly in maternity care’. See NHS website.
b PTS Vision 2024: ‘To develop Pond Tail Surgery to serve the residents of Godstone and neighboring villages
by providing an accessible, professional and dependable health service. To offer a holistic approach to
improving the health and wellbeing of our patient population’. See PTS website, it will not be revised in near
future’.
c PPG Vision: ‘To develop Pond Tail Surgery to serve the residents within the catchment area by providing an
accessible, professional and dependable health service. To promote best practice in ensuring ongoing
developments, improving services and learning for the benefit of the patient population’. It was produced in late
2024 and dovetails with PTS Vision statement, published in PPG Newsletter (Feb) and Bletchingley and
Godstone Parish magazines (Mar) and will be available on the surgery notice board.
6. Mission/ Key Actions for 2025
a PTS Key Actions: PTS key actions or areas of focus were anticipated (from the Annual Business or other
Plans) but were not identified or shared. Advise key actions or areas of focus or actions – FL
1. PPG Missions: Four were shared, 1 Website upgrade or deletion - deletion was anticipated as Newsletter was
included in PTS website, 2 PPG publicity planned at village fetes (summer 2025), 3 Performance Improvement
Plan - to define and implement 4 Performance Improvement Plan – to compare actual vs plan (Jan 2024-5).
Planned improvement can only be defined when PTS define their key actions or areas of focus. Advise details
when available - GS
2. New Facility: Development Plan was approved in 2024. ICB (NHS Integrated Care Board), was holder of the
new facility lease. Government funding rules had been recently changed and PTS commitment remained
outstanding. From a survey carried out in 2022, ICB had identified no alternative sites although a new
development was possible. Advise update details when known - FL
3. Service Improvement: Prescribing issues including prescription process, patient reviews, consolidation of
annual and birthday reviews, patient education and over the counter medication were areas of focus.
Consolidation of services with other practice(s), as seen elsewhere, was also under consideration.
7. PTS and PPG Relationship:
a PPG was and will always remain independent of PTS. PPG commitment to support PTS going forward was
TOTAL. PPG wanted to improve ‘lowest in decades’ public perception of NHS. PTS and PPG Visions were fully
aligned. Key focus areas and actions require better definition including enhancements and challenges, use of
Artificial Intelligence (AI) tools (automated registration starts on Mon 7 Apr) and use and training of
Ambassadors. Advise plans and needs - FL
8. Any Other Business:

a SystemOne Update: Some of the service improvements (prescriptions, etc) had been impacted by the
introduction of SystemOne IT system in Nov 2024, which were being progressed. Details were not shared.
b Covid Vaccinations in Spring: Available at Godstone and other pharmacies as well as phone 119, but PTS
were not planning to offer this service due to insufficient reimbursement.
c PTS website: Was updated to reflect personnel changes.
d Articles for Newsletter and Parish Magazines: Advise two articles in preparation before publication FL 7 Apr

e Quality & Diversity Awareness Programme: Prescriptions vs over subscribing, inhaler usages, etc - see
above.
f Zero Tolerance to Abuse, Violence: Not addressed
