Minutes of the meeting
Jackie Clark welcomed everyone to the meeting including our newest member Caroline Allison
1. In attendance:
PPG members - Huw Williams, Caroline Allison, Alan White and Jackie Clark(Chair)
Surgery staff – Fran Lemanska Practice Manager and GP Emma Linnard
Godstone Pharmacy - Ifesi Amene

2. Update on improved access both in and out of the surgery for the disabled including easier communication with reception Fran informed the meeting that:
A bell has now been installed by the door inside the surgery to enable patients to summon help with the door when they leave the surgery. So there are now bells both in and outside the entrance to the surgery door.
A sign has been put up to show wheelchairs users where the reception hatch at the right level for their use is. There is a bell to ring for attention.
The hatch door is being replaced and a new one installed
A new sign in screen has been installed at a lower level than before to enable easier use by anyone in a wheelchair
Jackie thanked Fran for the completion of this work
3. The new Information Screen in the Waiting Room:
Fran reported that there had been some problems to be sorted following the installation of the screen. This was now in hand. The meeting discussed how the screen might be used to advertise the PPG. There is a catalogue of programmes that can be installed telling patients any news and will be investigated.
Jackie requested that a notice board be installed in the waiting room for simple PPG messages in a large font that people could read whilst sitting waiting for their appointment. E.G. THE PATIENTS PARTICIPATION GROUP TO LEARN MORE PLEASE ASK AT RECEPTION FOR A LEAFLET
4. Missed Appointments Policy
Dr Linnard explained the reasons for this policy and said that every patient had received notice of it coming into use
5. The new Diagnostic Centre at the Belfry Shopping Centre
This was discussed and welcomed by the meeting
6. The PPG Recruitment Leaflet
Clinical staffs were handing out the leaflets when it seemed appropriate to do so. Jackie said that there had been none on the desk at reception when she had been at the surgery recently. Following her enquiry the forms had been found. Jackie asked Ifesi if they could be put out at Godstone Pharmacy and she kindly agreed.
7. Surgery Staff Recruitment
8. Fran is leaving the Practice to take up a new post within Surrey and recruitment is currently taking place to find her replacement. She will be much missed by the PPG. She has developed a very good working relationship with the members of the PPG for which they are very grateful. Fran told the meeting that Michelle Coggan had been appointed as the new Deputy Practice Manager. This is an internal appointment. Michelle was previously a Care Co-ordinator within the Practice. Another member of staff had been promoted to the role of Care Co-ordinator to fill the vacancy due to Michelle moving into her new role. It was noted that the surgery were doing all they could to support and encourage their staff with career development opportunities.
There was no other business.
The next PPG meeting with representatives of Pondtail Surgery will be at 7pm on the 1st April 2026 at the Surgery
